ADMINISTRATIVE COORDINATOR

Veggies to Table, an organic grow-to-donate farm in Newcastle Maine, is seeking a full-time Administrative Coordinator to join our team. Our ideal candidate will have experience working in nonprofit operations and take joy in administrative tasks that improve the flow of our day to day operations, events, and fundraising. If you are excited about, and capable of, working in a dynamic, fast-paced setting, enjoy geeking out on spreadsheets, CRM’s, and systems, and appreciate working for a greater cause, we hope to hear from you! We are rapidly growing, and this  position will play an important role  in supporting our Executive Director and development team. As no two days look quite the same, this role requires the ability to multitask, pivot, and prioritize as needed. We greet each day’s challenges and successes with humor and flexibility, and work to create a supportive environment for all team members. This is a hybrid position, with a flexible combination of remote work and time spent working with the team on site at our beautiful Newcastle farm.

Responsibilities:


Operations & Administration (45%)

  • Maintain our CRM database (Kindful/Bloomerang), 

  • Streamline & maintain organizational systems in Gmail, Google Drive, Basecamp, CRM

  • Create and maintain Excel spreadsheets, for reporting and tracking purposes

  • Assist with invoicing, payroll, budgets, and other minor bookkeeping tasks (in conjunction with our bookkeeping firm)

  • Maintain newsletter database (Mailchimp)

  • Maintain and update website (Squarespace)

  • Manage our ticket sales software (Ticket Tailor)

  • Help organize and track sales from events, flower pop-ups, workshops, and classes

  • Grant writing, when applicable, in conjunction with ED and team


Events (30%)

  • Assist in corporate sponsorship outreach and tracking, including sending letters of request, acknowledgements, updating tracking spreadsheet, and updating website with new sponsors

  • Help execute our third annual Paris Sweepstakes, and implement event promotion, through press, newsletters, email, flyers, etc.

  • Help with planning and execution of all Veggies to Table events in conjunction with ED, team and volunteer/board committees


Communications (15%)

  • Assist in donor communication where applicable, i.e. sending donation receipts, acknowledgements and thank you’s

  • Assist with end of year and spring appeals 

  • Help improve our Google non-profit advertisements 

  • Post job listings for new team members when we have openings

  • Assist development team in finding and posting content for Facebook and Linked In 

  • Work with the team on prepping and sending newsletters and press releases 

  • Work with the team writing and editing newsletters and press releases 

  • Help maintain and update our Website (Squarespace)


Volunteer Management (10%)

  • Onboarding volunteers

  • Managing volunteer platform (SignUp)

  • Keeping SignUp and Basecamp calendars consistent

  • Corresponding with and scheduling volunteers 

  • Setting up hour log spreadsheets for new volunteers

  • Tracking volunteer work and time

  • Calling WWOOFer and Workaway references 


Desired experience:

  • 2-4 years of nonprofit administration, operations, and/or development experience preferred

  • Proficiency in Google Suite, Microsoft Suite, Canva, Squarespace, Mailchimp, Quickbooks preferred

  • Familiarity using CRMs (we use Bloomerang)

  • Experience writing successful grant applications and reports is a plus

  • Planning or assisting with fundraising events (or desire to learn)


Qualifications:

  • Highly organized, detail oriented, and self-motivated 

  • Comfortable and familiar with working in a hybrid role, working both collaboratively and independently

  • Ability to multitask, manage time, evaluate progress, and adjust activities to complete tasks within established time frames, while producing high quality work

  • Strong interpersonal skills, with the ability to work with a team, as part of an organization, and with other organizations

  • Alignment with our organizational mission and values

  • Familiarity with  organic vegetable and flower farming is a plus

  • Design, copywriting, and grant writing skill is a plus

  • Salary commensurate with experience, $45 - $50,000 annually depending on experience
